Hotel Information
- The Hyatt Regency Crystal City Hotel is located approximately 2 blocks from Crystal City Metro Station on the blue line. The hotel offers a complimentary shuttle every 15 minutes from the Crystal City Metro Station and every 20 minutes from the Reagan National Airport.
- The Hyatt Regency Crystal City Hotel valet parking fee is $25 (parking over 6 hours) per day. Another option for those not staying overnight is self parking which is $10 per day (parking over 2 hours) in a public garage located next door to the hotel.
Hotel information for those not lodging at the conference hotel
- The Courtyard Arlington Crystal City Hotel is located approximately 1 mile from the Crystal City Metro Station and is approximately .5 miles West from the Ronald Reagan Washington National Airport and approximately 30 miles East from Dulles Airport. Super shuttle and taxi service are available at both airports.
- The Courtyard Arlington Crystal City Hotel parking fee is $16 per day.
Registration
- Registration will be set up at the Hyatt Regency Crystal City Hotel in the Independence Foyer, Independence Level beginning Sunday at 5:30 p.m. and again on Monday at 7:30 a.m.
- check in is required to receive a name tag. - For security and logistical purposes, everyone is required to wear their name tag throughout the workshop.
- Online registration is no longer available; however, walk-in registration will be permitted on site.
Abstract Books
- Abstract books will be given to everyone who registered - limit one book per person.
- Additional copies are available upon request (form available on site), or can be downloaded from the workshop website.
- Abstracts submitted after the due date will be included as a supplemental handout with the abstract book.
Communication
- Wireless internet, while available in the hotel, will not be available in the meeting areas.
- An internet café will be available on a first-come, first-serve basis throughout the workshop in the Regency Ballroom Foyer, Ballroom Level, and limited to 15 minutes per use.
- Internet service is available in the hotel sleeping rooms. The access is limited to the sleep room and hotel lobby. Upon entering the conference area, the access is scrambled.
- Outlets to charge computers in the general session room are on a first-find, first-serve basis.
- Personal belongings may not be stored at the registration table and must be removed from the meeting room(s) each evening as participants leave.
- Self coat check available outside the Regency Ballroom, Ballroom Level at the Hyatt Regency Crystal City Hotel.
Food
- Continental breakfast will be available each morning beginning at 7:30 a.m.
- Boxed lunches will be available on Monday and Tuesday for those who pre-registered.
- Refreshments for the morning and afternoon breaks will also be available. ORISE has made every effort to accommodate special dietary requests based on the submitted registration form.
Dress and Forecast
- Dress for the workshop is business casual.
- Initial forecasts indicate high temperatures in the upper 30s to low 40s.
Poster Session
- Over 250 posters will be displayed beginning Sunday evening through mid-day Wednesday in the Independence Center, Independence Level.
- The poster session assignments are available in PDF format. Please do not deviate from your assigned session. Debra Neely, the ORISE team member in charge of the poster session, will assist if changes are required. For late abstract submissions, there will be a list posted outside of the poster session room to determine session assignment.
- All posters can be left up throughout the workshop.
- The boards will be numbered for identification. Pushpins will be available.
- The maximum size of posters is 4 feet by 4 feet.
- A/V items will not be provided to poster presenters.
- Shipping supplies will not be provided on site.
- Cash bar and Heavy hors d’oeuvres will be available during the poster sessions.
Presenters
- A computer technician will be available on site to assist with presentations.
- Presenters should give presentations to the technician prior to the session or email them to Jody Shumpert no later than February 5. Use the first letter of your first name and your last name to name your presentation (i.e., jshumpert.ppt).
- The presentation laptop will be a PC equipped with Microsoft PowerPoint.
- The agenda is very full – presenters should make every effort to stay within allotted time frame.
