Guidelines for Travel Reimbursement

  • All reimbursements must have prior approval by Day of Science Management Team before travel. NO EXCEPTIONS. The deadline to request a pre-approval is October 19, 2007. Please download the School Reimbursement Pre-Approval Form (PDF) and fax it back to Carol Leffew at 865-241-4078.
  • Please refer any travel-related questions to Carol Leffew at 865-574-5982, or Desmond Stubbs (-865-574-2790.
  • Private vehicle mileage reimbursement (48.5 cents) per mile (using MapQuest point to point)
  • Rental car with actual receipt (faculty/staff with 2 or more occupants).
  • Rental van with actual receipt (faculty/staff with 5 or more occupants).
  • Gas for rental car or van with actual receipts.
  • Additional insurance for rental vehicles is NOT reimbursable.
  • All other modes of transportation - contact Carol Leffew.

Hotel Information

The following hotels have been blocked for the DOE Day of Science. Please refer to DOE Day of Science when booking the hotel for the government rate - only the government rate will be paid.

All reservations must be guaranteed by either a credit card or a first night's deposit. Individual guests are free to cancel reservations up to 72 hours of the arrival date without penalty. Cancellations within 72 hours will result in the charge afone night's room and tax, to be charged to the individual. Any guest wishing to depart earlier than the original reservation departure date will incur a penalty of one night's room and tax, also the responsibility of the individual. No-shows will forfeit the full room revenue for the dates of the reservation.
